INTERNAL VACANCY

We are looking to recruit a highly organised, enthusiastic and approachable individual with excellent communication skills (both written and verbal) into the role of Personal Assistant to join our busy but very friendly Oncology Management Team  based at The Royal Shrewsbury Hospital.

The successful applicant will provide a high quality, comprehensive, personal secretarial and administrative service to the Centre Manager of the Lingen Davies Centre which covers Oncology, Haematology, Medical Physics and Radiotherapy.

The successful candidate will be expected to work accurately under pressure with the ability to manage and prioritise their own workload, provide and receive complex, sensitive or contentious information which may require tact, diplomacy and persuasive skills.

The ability to produce agenda's, take accurate formal minutes, track actions with action plans and ensure documentation is updated, is essential to this role.

Main duties of the job

Duties include, but are not limited to:

  • Act as the first point of contact for the Centre Manager.
  • Dealing with telephone enquiries, taking messages and escalating as necessary.
  • Diary/email management.
  • Organisation and minute taking of meetings.
  • Management of Office systems.
  • Preparation and maintenance of workforce documentation
  • Preparation, typing and distribution of correspondence, reports and ad  hoc papers.
  • Co-ordination of A/L and S/L within the department..
  • Regular use of Outlook, all Microsoft packages, Oracle, Health Roster, MS Teams & TRACS (experience of these would be advantageous)
  • Dealing with issues of confidential and sensitive nature.
  • Exposure to patient information that can be of an upsetting nature
  • Management of the booking calendar for the Centre Manager.
  • Plan and co-ordinate Employee-led appraisals on behalf of the Cancer Services management in line with Trust policy.
  • Co-ordination / management of the wig service
