The successful candidate will be a pivotal person within the secretarial team.  You will provide efficient and comprehensive secretarial support, in partnership with the Higher level Medical Secretary, to the Consultant and supporting clinical teams using effective organisational, communication and prioritisation skills to ensure deadlines are met. 

It is essential that the post holder exercises initiative and independent judgement whilst maintaining a high level of confidentiality and diplomacy at all times.  You will be fully conversant with all Microsoft applications, word processing, Microsoft publisher, producing presentations using PowerPoint, maintaining databases on Excel and Access.

The post holder is expected to work accurately under pressure with the ability to manage and prioritise their own workload; providing and receiving information which may require tact, diplomacy and persuasive skills as there may be barriers to understanding.

Some of the main duties include:

  • Digital and audio typing of clinical letters, correspondence and discharge summaries.
  • Ensuring results of tests and investigations for patients are reviewed by the Clinical teams in a timely manner and making any necessary ongoing arrangements.
  • Arrange, attend and minute meetings as required, taking and transcribing minutes and follow up actions.
  • Using the in-house patient data tracking system ensure patient case notes are booked in and out appropriately.
  • Respond to Patient and Carers telephone calls, regarding a variety of subjects, using own judgement in a professional and competent manner to provide non-clinical guidance.
